SUMMARY: 
The Learner Accounts Specialist is a member of the administrative staff responsible for coordinating the calculation, posting, and verifying duties to obtain and record accounts receivable data, communicating account information to our learners, and maintaining the accounting and statistical records.  
  
ESSENTIAL DUTIES AND RESPONSIBILITIES: 
(Other duties may be assigned)

  • Serves as a customer service liaison between learners and the University. Responsible for day-to-day activities related to being responsive to learner inquiries through email, phone, and mail, etc. 
  • Oversees the accounts receivable process by following established procedures for processing learner course billings, suspensions, withdrawals, dismissals, reinstatements, collections, and final audit calculations
  • Develops recommendations for a negotiated settlement of receivable accounts
  • Receives and processes revenue which includes overseeing the posting to learner accounts
  • Manages new payment plans in the TouchNet system and makes sure plans are available for learners to select for the next available term; Ensures timely management of every process to avoid delays and learner issues
  • Monitors payment status and provides information to learners, faculty, and appropriate University staff
  • Identifies delinquent accounts monthly and works with the learner to make payments based on their payment plan
  • Deposits and posts check and electronic payments to the learner accounts
  • Audits the learner’s account and updates the accounting status, and notifying the learner as necessary
  • Runs and oversees the courses and fees billing process and ensures the accuracy of the posted charges
  • Monitors learner’s accounts and their adherence to the agreed payment plans
  • Develops SOPs and desk manuals for specific processes and makes revisions as deemed necessary with the approval from the Director, Learner Accounts, and Sr. Manager, FP&A
  • Recommends new accounting policies and revisions to existing policies for approval from the Director, Learner Accounts, and Sr. Manager, FP&A 
  • Compiles composite reports of accounts receivable data as required by management or external agencies
  • Works with the reporting team to create, generate and record all reports related to learner accounts
  • Studies and standardizes procedures to improve the efficiency of accounts receivable operations
  • Performs other assignments on an ad hoc basis, as required 

SUPERVISORY RESPONSIBILITIES:
This position has no supervisory responsibility.

QUALIFICATIONS:

EDUCATION AND/OR EXPERIENCE: 
An Associate’s degree in accounting or a certificate in accounting or equivalent; one to two years of related experience and/or training; or an equivalent combination of education and experience.  Flexibility to handle a diversity of details to make informed and responsive decisions.  Familiarity with accounting computer applications is required.

COMMUNICATION SKILLS:
Ability to read, analyze, and interpret general periodicals, professional journals, University policies and procedures, and course outlines and syllabi.  Ability to prepare letters, reports, and business correspondence.  Ability to effectively present information and respond to questions from applicants, learners, faculty mentors, employees of the University, and the general public.   Ability to use and facilitate online communication including chat rooms, video conferencing, and other technology-based communication media.

MATHEMATICAL SKILLS:
Ability to work with mathematical concepts such as fractions, percentages, ratios, and proportions.

REASONING ABILITY:
Ability to apply principles of logical or scientific thinking to a wide range of intellectual and practical problems.  Ability to deal with nonverbal symbolism, such as formulas, scientific equations, graphs, etc.  Ability to deal with a variety of abstract and concrete variables.

PHYSICAL DEMANDS:  
While performing the duties of this position, the employee must regularly talk and actively listen. The employee is occasionally required to stand and reach with hands and arms. Specific vision abilities required by this job include computer technology and written materials which require close vision and color vision. WORK ENVIRONMENT:
