Responsible for collection, organizing, monitoring, and distribution of required documentation of an academic file in alignment with standard operating procedures while adhering to all policies and procedures necessary for compliance with external standards as set by accrediting and licensing organizations, state and federal agencies, and other regulatory entities.
  • Adheres to all policies and procedures outlined by the course catalog, student handbook, and standard operating procedures and understand and comply with the Family Rights and Privacy Act and other applicable laws and regulations to ensure the integrity of student records related to the department.
  • Maintains and archives academic files and records; including control, collection, organization, documentation, evaluation, monitoring of academic files (or place in “transcripts”) for students in accordance to deadlines.
  • As initiated by the university, processes school status changes as well as assisting student driven requests for processing such as: loan deferments, student directory changes, transcript requests, grade reports, diplomas and enrollment verifications.
  • Provide outstanding internal and external customer service by responding to all inquiries in a timely manner and maintaining availability for student questions during designated department hours.
  • Specific additional functions may include academic evaluation of eligibility for specified grants and scholarships offered by the campus.
  • Actively participate in professional development at the departmental level by carrying out special projects as assigned and contributing proactively to the department’s efforts for continuous improvement.
  • Work flexible schedule, including nights and weekends which may include working more than 40 hours per week to meet the needs of students.
Required Skills
  • Excellent verbal and written communication skills.
  • Strong knowledge of Microsoft Office software.
  • Organizational and time management skills.
Required Experience
  • Associate degree from an institution accredited by an agency recognized by the U.S. Department of Education (or international equivalent) required or professional experience equivalency required.
  • Bachelor Degree from an institution accredited by an agency recognized by the U.S. Department of Education (or international equivalent) preferred.
