An Academic Advisor is a collaborative relationship between a learner and Academic Advisor. This collaboration intends to assist the learner in developing meaningful educational goals that are consistent with personal interests, values, and abilities. An effective Academic Advisor is the cornerstone of the academic programs of California Southern University. This position involves building a relationship with the learners to motivate them and assist them in maintaining their focus to satisfy their program requirements.
  
ESSENTIAL DUTIES AND RESPONSIBILITIES: (Other duties may be assigned)

  • Understands the evaluation process to advise learners about their degree requirements
  • Communicates with and advises learners throughout the course(s) and program 
  • Manages the alerts/reports for course incompletes, grade confirmations, and non-continuous enrollment, etc.
  • Approves course Petitions/Overloads and identifies that all pre-requisite courses have been met.
  • Advises learners about their degree plan, courses, etc. and approves changes to degree plans and the impact on licensure, etc., as applicable
  • Monitors course withdrawals
  • Proactively contact and be available for advisees on a regular basis  
  • Monitors progress toward educational/career goals through regularly scheduled meetings with Learners to review their progress toward completing the program and to discuss grades and other performance indicators
  • Acts as liaison between Learner and Faculty Mentors, as required
  • Follow-up with Learner on any report of unsatisfactory work, with special attention being paid to Learners who are placed on academic probation
  • Inform and, if necessary, refer Learners to other institutional resources when the situation requires intervention by other professional
  • Approves academic requirements for graduation and notifies the Registrar when the learner is enrolled in the last course  
  • Maintains a complete record of advisor/learner communications (Advising load established by Sr. Manager of Learner Support Services)
  • Attends meetings and represents the university with outside constituents and events, as needed
  • Response to questions concerning university policies and procedures; refers the questions to responsible academic or administrative area for clarification when needed
  • Explains licensure requirements, as applicable
  • Participates and engages in co-curricular programs and committees
  • Performs other assignments on an ad hoc basis as required

QUALIFICATIONS:

To perform the duties of this position, an individual must be able to perform each essential duty satisfactorily. EDUCATION AND/OR EXPERIENCE: 

A minimum of a Bachelor’s degree in counseling or education with a minimum of 2+ years of experience in counseling or advising; or equivalent combination of education and experience. An accredited Master’s degree (or equivalent) in a departmental discipline with two or more years of related experience; or equivalent combination of education and experience is preferred. Knowledge of and experience with personal computer applications is mandatory.

COMMUNICATION SKILLS:

Ability to read, analyze, and interpret general periodicals, professional journals, University policies and procedures, and course outlines and syllabi.  Ability to prepare letters, reports, and business correspondence.  Ability to effectively present information and respond to questions from applicants, learners, faculty mentors, employees of the University, and the general public.   Ability to use and facilitate online communication including chat rooms, video conferencing, and other technology-based communication media.

MATHEMATICAL SKILLS:

Ability to work with mathematical concepts such as fractions, percentages, ratios, and proportions.

REASONING ABILITY:

Ability to apply principles of logical or scientific thinking to a wide range of intellectual and practical problems.  Ability to deal with nonverbal symbolism, such as formulas, scientific equations, graphs, etc.  Ability to deal with a variety of abstract and concrete variables.

PHYSICAL DEMANDS:  

While performing the duties of this position, the employee is regularly required to talk or hear.  The associate frequently is required to sit and use hands to finger, handle, or feel.  The associate is occasionally required to stand and reach with hands and arms.  The associate must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.  Specific vision abilities required by this job include close vision and color vision.

WORK ENVIRONMENT: 

As a remote employee, he/she must provide a workspace that is safe and conducive to a business atmosphere where staff can interact with and provide undivided attention, removed from distractions.
